Description

The Administrative Assistant will be responsible for providing administrative support to management, employees, board, and advisory group members of Building Blocks for Child Care (B2C2).

This is a position scheduled for 35 hours per week for eight weeks at a wage rate of $20.00 per hour.  The successful applicant will work primarily from home.

Working Relationship

The Administrative Assistant will work under the supervision of a B2C2 Director.
 

Duties and Responsibilities

  • Providing administrative support to management, employees and board and advisory group members of B2C2.  
  • Aiding clients of B2C2.
  • Handling office ad-hoc duties such as organising files, drafting letters, and scheduling meetings
  • Maintaining databases and tracking important deadlines
  • Planning meetings and arranging Zoom calls
  • Managing calendars via email, phone, and face-to-face meetings
  • Answering emails with an appropriate greeting, salutation, signature, or standard closing
  • Arranging travel plans for managers and employees, including flights, car rentals, hotel accommodation
  • Purchasing airline tickets and other travel tickets when necessary
  • Initiating contact with clients by email, letter, or telephone to answer questions or providing information concerning projects
  • Following up on client issues until they are resolved
  • Coordinating travel arrangements and catering for meetings
  • Preparing expense reports
  • Developing and managing spreadsheets (B2C2 database and G-drive)
  • Scheduling meetings and events for employees and potential visitors
  • Assisting committees to schedule and prepare meetings, taking notes, and ensuring appropriate follow-up
  • Organizing internal business operations primarily through G-Drive

Required Skills and Experience

  • Post-secondary level education
  • Demonstrated administrative and organizational skills
  • Good computer literacy and familiarity with Microsoft Office and Google suites 
  • Experience working on website and social media platforms
  • Effective interpersonal and team skills  
  • Strong writing and editing skills
  • Strong organizational and time management skills  
  • Ability to work autonomously  
  • Ability to maintain files and records  
  • Ability to follow oral and written instructions 
  • Fluency in English 
  • Strong customer service background and approach

Assets

  • Educational background or relevant experience in administration
  • Knowledge of the field of early learning and child care or studies in a related field
  • Knowledge of Early Learning and Child Care issues
  • Familiarity with database management
  • Understanding of French an asset

The Communications Assistant will be responsible for providing communications and administrative support to Building Blocks for Child Care.

Working Relationship(s)

The Communications Assistant will work under the supervision of a B2C2 Director.

Duties and Responsibilities

The Communications Assistant will be responsible for:

  • Building and maintaining effective working relationships with partners and stakeholders in the Ontario Early Learning and Child Care community to ensure a comprehensive understanding of the B2C2 role.
  • Monitoring issues of concern to B2C2 (and discussions relating to the organization) in media spaces and being able to respond to audiences in a timely manner.
  • Monitoring and analyzing any benchmarks or metrics regarding B2C2’s reputation and being able to make recommendations for improvement
  • Developing an overall communications strategy which could include events, social media, website content, press conferences, or emails
  • Developing a Social media strategy on B2C2’s platforms.
  • Creating timely and engaging content that is optimized for whatever platform it will be published on
  • Managing, planning, and coordinating media and public events
  • Writing and developing media materials which can include press releases, media advisories, public service announcements, and blog posts
  • Organizing online events, such as webinars
  • Working with mass email programs to send invitations to guests
  • Managing reservations
  • Developing content plan for events
  • Other Tasks as assigned

Required Skills and Experience

  • Some post-secondary level education
  • Good computer literacy and familiarity with Microsoft Office and Google Workspace
  • Effective interpersonal and team skills
  • Strong writing and editing skills
  • Strong organizational and time management skills
  • Ability to work autonomously
  • Ability to maintain files and records
  • Ability to follow oral and written instructions
  • Fluency in English

Assets

  • Educational background or relevant experience in communications projects, early learning and child care or studies in a related field.
  • Knowledge of Early Learning and Child Care issues
  • Experience with websites, communication platforms
  • Experience with WordPress
  • Understanding of French

Start date

Position starts on July 6, 2026 and ends on August 28, 2026 (or as close to these dates as possible).
